Duties include:

  • Book/prepare all aspects of technician’s travel (hotel, flights, car rentals, US entry letters)
  • Create sales orders as required (trips/parts)
  • Schedule commissioning / drop-in / courtesy visits
  • Maintain the Wrike calendar for field service, installs and commissioning
  • Create, plan and schedule “Tech Trips” to various regions in the pre-determined 52-week calendar (created based on customer demand/sales requests)
  • Submit Tech billable days for payroll
  • Monitor and update ship dates for all customer care sales orders
  • Prioritize tech requests from customers
  • Provide quotes for technician visit requests
  • Coordinate the service technician toolbox program
  • Create M2M part numbers/BOM/routings as requested
  • Maintain Department SOPs

Qualifications and Experience:

  • Post High School Certification (Vocational, Diploma, Degree)
  • Scheduling experience
  • Fluent in English written and verbal communication (primary communication language required)
  • Fluent in Spanish written and verbal communication is preferred (second language)
  • Additional spoken and written languages is an asset
  • Sales experience is an asset
  • Customer Relationship experience
  • Detailed oriented
  • Ability to interact with a variety of individuals from different backgrounds and cultures
  • Excellent working knowledge of MS Office including Word, Excel, Outlook
  • Experience with ERP and CRM software an asset.
  • Experience in Baking Industry of Food Industry an asset
  • Excellent organizational, time management skills and ability to multi-task
  • Ability to work independently with minimum supervision
  • Ability to work under pressure and maintain a calm focus during hectic periods

Emergency/Urgent Duties (As & When):

In order to deal with emergency situations, the Customer Care Field Service Coordinator needs to be cognizant of unforeseen circumstances affecting the Technicians in the field. These can include but not limited to:

  • blizzard/weather reschedule requirements
  • missed flights
  • customer wants tech to stay longer
  • credit card issues
  • cash issues
  • car accidents
  • travel booking issues
  • toolbox shipping logistics

In the event of these types of circumstances, the position is required to be available to escalate and/or assist at any given time.
